Why sign-off matters

A job finished isn't a job protected. Without a clear record that the client accepted the work, any complaint — days, weeks or months later — is your word against theirs. With client sign-off in RenovateIQ Business, there's no ambiguity.

The moment your client taps Confirm Sign Off on their phone, the timestamp is written to the project record permanently. You can see it. Your subcontractors can see it. And if a dispute ever comes up, you've got the evidence.

How it works

  • You invite your client to the project using an 8-character code. They download the app and join free — no subscription needed on their side.
  • They follow along throughout the project — photos, updates and messages, all in real time.
  • When work is complete, your client sees a Sign Off button in their app. They confirm the work is done to their satisfaction and can add optional notes.
  • The sign-off is recorded with their name, the date and time, and any notes. It appears immediately on your web dashboard.

What's recorded

Client name

The sign-off is tied to the client's account — not an anonymous tap. You know exactly who confirmed the work.

Date & time

The exact timestamp is recorded when the client confirms. Permanent — it can't be edited or removed after the fact.

Client notes

Your client can add optional notes before confirming — a useful record of any final comments they had at handover.

Visible everywhere

Once signed off, the project shows a green "Signed off" badge in your web dashboard, visible to you and your subcontractors.

What it protects you from

Building work disputes are common — and expensive. A clear record of client acceptance at completion changes the dynamic entirely.

Who can sign off

Only the client linked to the project can sign off — not you, not a subcontractor. This keeps the record clean and unambiguous. When you hand the job over, you let your client know to tap Sign Off in their app. It takes them about 10 seconds.

Clients join the project free and don't need a paid subscription. They just download the RenovateIQ Business client app and accept your invite code.

After sign-off

The project moves to a "Signed off" state in your dashboard. You can still view everything — all the updates, messages, site diary entries, snag history and invoices — but the sign-off badge makes it clear the job has been formally completed and accepted.

We recommend issuing your final invoice at the same time. With sign-off on record, there's a clear sequence: work done → client accepted → invoice sent.

Who signs off the project? +
The client does — from their iPhone. They tap Sign Off, add any optional notes, and confirm. You and all linked subcontractors can see the sign-off immediately in your dashboard.
Is a digital sign-off legally valid? +
A timestamped digital record of client approval is strong evidence that work was accepted. We recommend you also issue a final invoice at the same time. Always check local requirements with your own legal adviser.
Can sign-off be undone? +
No. Once a client confirms sign-off it is permanent and timestamped. This protects you from after-the-fact disputes about whether the work was completed.
Is it included in my subscription? +
Yes — client sign-off is part of every RenovateIQ Business subscription at no extra charge.
What if the client hasn't downloaded the app yet? +
They'll need to download the RenovateIQ Business client app and accept your invite code first. It's free for them and takes a couple of minutes. Once they're in, sign-off is just a tap.
